Read the Trial Balance

See the debit and credit balance of every ledger, check that your books balance, and export or open any ledger.

The Trial Balance lists every ledger with its debit or credit balance. If total debit equals total credit, your books are in balance.

Before you start

Steps

  1. Open Reports > Trial Balance.
  2. Check the From and As on dates. They start at the first and last day of the financial year selected on the Dashboard.
  3. Change either date if you need a different period. The report reloads on its own.
  4. Look at the summary strip. It shows Total Debit, Total Credit, and either Balanced (green) or Difference with the amount (red).

Change the view

  1. Click Tree (with sub-totals) to see groups and sub-groups nested, each with its own sub-total.
  2. Click Flat (legacy) to see each ledger under its main group, with Opening, period Debit / Credit and Closing columns.
  3. The app remembers the view you chose on this device.

Find a ledger

  1. Type part of the ledger name or code in Search.
  2. The list shows only matching ledgers. A chip shows how many matched out of the total.
  3. Click the x on the chip to clear the search.

Open a ledger (drill-down)

  1. Switch to Flat (legacy) view.
  2. Click a main group row to open or close it. Use the Expand All and Collapse All icons at the top to open or close everything.
  3. Click any ledger name. Its ledger report opens for the same dates.

Export or download

  1. Click the Export icon (download arrow) to save an Excel file. The file follows the view on screen.
  2. Click the Download PDF icon to save a PDF of the full tree with sub-totals.
  3. Click Refresh to reload the figures after you post new entries.

Fields

FieldWhat it means
FromStart of the period. Balances before this date appear as Opening in the flat view.
As onLast date included in the report.
OpeningBalance before the From date.
ClosingOpening plus the period movement.
Stock-in-hand (computed FIFO)A line the app adds itself. It is your stock value worked out from stock movements. You cannot open it.
