Document archive (Google Drive)

Connect your Google Drive so scanned bills, invoices, consignment notes and bank statements are filed there, and check that every upload arrived.

The document archive files your scanned papers into your own Google Drive. Bills you scan for OCR, and bank statements you import, are saved there by themselves. They go into a folder called "Arthlekha Documents".

Google Drive is the only place these scans are kept. If an upload fails and is not retried, there is no other copy. Check the upload status from time to time.

Before you start

Connect Google Drive

  1. Open Settings > Configuration.
  2. Click Document Archive to open the section.
  3. Click Connect Google Drive. Google's sign-in page opens.
  4. Choose the Google account and allow access.
  5. You come back to Arthlekha and see Google Drive connected — new scans will be filed there. The status now reads Connected with an ACTIVE label and the Google email.

Arthlekha asks only for permission to see the files it creates. It cannot see anything else in your Drive.

Choose the scan quality

  1. Under Scan quality, click one option.
OptionWhen to use it
Archival — highest detailBills that may be checked closely. Largest files after compression.
Balanced (recommended)Most businesses. Text stays sharp on screen and in print.
Compact — smallest filesTo save the most Drive space. Still readable.
No compressionTo store exactly what was uploaded. Uses the most space.

The choice saves at once and applies to new scans only. Photos are straightened, resized and saved as a PDF. PDFs you upload are never compressed again.

Check the upload status

  1. Look at Upload status. It shows three counts: Uploaded, Pending and Failed.
  2. If Pending or Failed is more than zero, click Retry. The button shows how many documents will be tried again.
  3. Wait a few seconds and check the counts again.

See recent documents

Recent documents lists the last 25 scans sent to Drive. Each row shows the TYPE (purchase bill, sales invoice, consignment note or bank statement), the FILE name and the STATUS. Click Open to see the file in Google Drive. A failed row shows the reason under the file name.

Consignment notes and other attachments are uploaded from the document's own screen, not from here.

Disconnect Google Drive

  1. Click Disconnect.
  2. Read the warning and click Disconnect again to confirm.

New scans stop being filed and are not kept anywhere else. Files already in your Drive stay there.
