Sales Register

Find, filter and export your sales invoices, and view, edit, duplicate, print or cancel any of them.

The Sales Register lists every sales invoice with its taxable value, GST and grand total. Use it to find an invoice and act on it.

Before you start

Steps

  1. Open Registers > Sales Register.
  2. The list shows the current financial year, newest first. The cards at the top show the count of Invoices, the Taxable value, GST and the Grand Total for the list you see.
  3. Use the filters below to narrow the list.
  4. Click an invoice number to open it.

Filter the list

Click a column heading such as Date, Invoice, Customer, Taxable or Grand Total to sort by it. Click again to reverse the order. The last row of the table shows the totals.

On a phone, tap Filters to show the filter boxes.

Row actions

On each row:

The three-dot menu has:

On a phone, View and Edit are also in this menu.

Small tags on a row show IRN when an e-invoice is made, EWB when an e-way bill is made, RCM for a reverse-charge invoice, and VOID for a cancelled invoice.

Cancel an invoice

  1. Click the three-dot icon on the invoice and choose Cancel Invoice.
  2. Read the box. It shows the invoice number, date and grand total.
  3. Click Confirm Cancel. Click Keep Invoice if you change your mind.

When you cancel:

This cannot be undone. A cancelled invoice cannot be edited. After you click the refresh icon, cancelled invoices are no longer listed. If the invoice has an e-invoice or e-way bill, cancel those too. See e-invoice and e-way bill.

Export to Excel

  1. Set the filters for the invoices you want.
  2. Click Export.
  3. Choose Invoice-wise (Summary) for one row per invoice, or Item-wise (Inventory) for one row per product line.

The Excel file downloads. It contains only the invoices in the filtered list.

Make a sale from a purchase

To resell goods you bought, start from the purchase.

  1. Open the Purchase Register.
  2. Click the three-dot icon on the purchase and choose Copy to Sale.
  3. A new sales invoice opens with the same items, quantities and GST rates. The rates are the purchase cost.
  4. Pick the Customer and change the rates to your selling price.
  5. Click Save Invoice.

Only item lines are copied. A purchase entered against expense ledgers has nothing to copy.
