Record a production
Record a production run that takes raw materials out of stock at FIFO cost and puts the finished goods into stock at that cost.
A production entry records one run in your factory. The raw materials used go out of stock, and the finished goods come into stock. The finished goods are valued at the cost of the raw materials used, worked out first-in, first-out (FIFO) from your purchase and opening stock.
Before you start
- Switch on manufacturing in Configuration. The Manufacturing menu appears only when it is on.
- Create a Bill of Materials for the product. Without one you must list the raw materials by hand on every run.
- Make sure the raw materials are in stock. Record their purchases or opening stock first.
Steps
- Open Manufacturing > Production.
- Click New Production.
- In Finished product \*, pick the product you made. The raw materials from its BOM load into the table.
- In Quantity to produce \*, enter how many units you made. The BOM quantities are scaled to match.
- Check the Date. Costs and stock are worked out as on this date.
- Check each raw material line. Qty needed is the quantity that will be used. In stock shows how much you have. FIFO cost is the cost of that quantity.
- Change a Qty needed if this run used a different amount. Click Add material to add a material, or the bin icon to remove one.
- Check the totals. TOTAL RAW-MATERIAL COST is the cost of all materials. FINISHED GOODS ENTER STOCK AT is that cost divided by the quantity produced, per unit.
- Optionally pick a Location / godown (optional) and type Notes (optional).
- Click Record production.
The run appears in the list with its Production #, Unit cost and Total cost. Click a row to see the raw materials it used.
Reload from BOM
After you change materials by hand, changing Quantity to produce \* keeps your lines and only recalculates their cost. To go back to the BOM recipe:
- Click Reload from BOM.
- The table is replaced with the BOM materials, scaled to the quantity to produce.
Picking a different finished product also replaces the lines with that product's BOM.
When stock is short
If a raw material does not have enough stock on the production date, its In stock figure turns red and is marked with a warning sign. A yellow note appears under the totals.
- Record production stays grey until you deal with the shortage.
- The best fix is to record the missing purchase or opening stock first, then open the production again.
- If you must record the run now, tick Produce anyway. The finished goods are then valued only at the cost of the stock that existed. The missing quantity adds no cost.
Edit a production
- Click the pencil icon on the run's row, or click the row and then Edit.
- The run opens with the materials it used. They are costed again against stock as it was before this run.
- Make your changes and click Save changes.
Saving undoes the old stock movement and records the run again with the new figures. The production number stays the same.
Reverse a production
- Click the bin icon on the run's row.
- Confirm the message. The raw materials go back into stock and the finished goods are taken out.
A reversed run disappears from the list and cannot be edited.
Find a production
Use Search, All products, From and To above the list. They work together. Click the clear icon to remove all filters.

Common problems
- No active Bill of Materials for this finished product. Create a BOM first, or list the raw materials to consume for this run. — create a BOM, or click Add material and enter the materials by hand.
- The selected BOM has no raw-material lines. — edit the BOM and add its materials.
- A service item cannot be produced — pick a stock item. — the product is marked as a service. Pick a stock item.
- Output quantity must be greater than zero. — enter a quantity to produce.
- Not enough stock of: ... Add stock, or confirm to produce anyway. — see "When stock is short" above.
- This production was reversed and can't be edited. — the run was reversed. Record a new production.
- Could not record this production. Integrated inventory accounting is on, but this business has no 'Stock in Hand' ledger ... — open Chart of Accounts and run the default setup, as the message says. A missing 'Stock Adjustment' ledger is fixed the same way.
- Cost looks too low — check that the raw materials had stock on the production date. A purchase dated after the production is not used.
