Configuration
Use the Configuration page to set up years, numbering, GST and stock posting, and to switch optional modules like Barcodes and Manufacturing on or off.
Configuration is one page for everything your business sets up once. Each part is a section that opens when you click it. Each section saves on its own.
Steps
- Open Settings > Configuration.
- Click a section's title bar to open it. Click it again to close it. You can keep several sections open at once.
- To open every section, click Expand All. To close them all, click Collapse All.
The sections
| Section | What it is for |
|---|---|
| Financial Years | Add, close and re-open financial years. See Financial years. |
| Invoice Series | Numbering for invoices, notes, challans and orders. See Invoice series. |
| GST Configuration | GST registration, e-invoice and e-way bill login, and the GST portal link. See GST configuration. |
| Inventory & GST Posting | Whether stock movements also make accounting entries. Explained below. |
| Document Archive | Save scanned bills to your Google Drive. See Document archive. |
| Barcodes | Optional module. Explained below. |
| Manufacturing | Optional module. Explained below. |
| Crates | Optional module for returnable crates. See Returnable crates. |
| Location-wise stock | Optional module for stock kept in more than one godown. See Location-wise stock. |
Inventory integrated with accounting
- Open the Inventory & GST Posting section.
- Tick Inventory integrated with accounting to make stock movements also post to your stock ledgers. Untick it to change stock quantities only, with no accounting entry.
- Click Save.
This mainly affects stock journals, such as transfers, adjustments and stock found or lost. See Stock journal.
The GST registration switch is not here. It is in the GST Configuration section. Your company's state code is on Business Profile.
Switch a module on or off
Barcodes, Manufacturing, Crates and Location-wise stock are all off when you start. Turn one on only if your business needs it.
- Open the module's section.
- Read the list under the switch. It tells you what the module adds, or what happens when it is off.
- Click the switch.
- A message such as Barcodes enabled appears and the app reloads by itself. The new menus now show in the sidebar.
Turning a module off only hides its screens. Data you already entered is not deleted, and it comes back when you turn the module on again.
What each module adds
| Module | What you get when it is on |
|---|---|
| Barcodes (Use barcodes in this business) | New items get a barcode. A Barcodes menu with Coverage, Print Labels and Stock Audit. A barcode box on the item form and scan boxes on sales, purchase, credit note, debit note and delivery challan. See Barcodes. |
| Manufacturing (This business manufactures goods) | A Manufacturing menu with bills of materials, production entry, production report and reorder alerts. A raw material or finished goods type on every item. See Bills of materials. |
| Crates (Track returnable crates party-wise) | Crate types, a crate register and a crates box on sales invoices and delivery challans. Crates are counted apart from stock and never touch your accounts. |
| Location-wise stock (Track stock separately for each location) | Purchases, sales and transfers each record a godown, and the product register can be filtered by godown. |
With Barcodes off, a barcode you type or scan in yourself is still saved on the item.
Common problems
- I switched a module on but the menu did not appear — wait for the page to reload. If it still does not show, reload the page yourself with
Ctrl + R. - A section shows an error message after you click the switch — the change was not saved and the switch stays as it was. Read the message, then try again.
