Receipt & Payment and Cash Flow reports
See all money that came into and went out of your cash and bank ledgers, and the cash flow split into operating, investing and financing.
Both reports look only at your cash and bank ledgers. The Receipt & Payment report lists money in and money out by the other ledger. The Cash Flow report sorts the same movement into three activities.
Before you start
- Your cash and bank ledgers must be directly in the Cash/Bank group of the Chart of accounts. A ledger in any other group, including Bank OD / Cash Credit Accounts, is not counted as cash.
- Both reports start with the financial year selected on the Dashboard.
Receipt & Payment
- Open Reports > Receipt & Payment.
- Check the From and To dates. Change them if needed. The report reloads on its own.
- Read the summary strip: Opening, Receipts, Payments and Closing.
- Read the left table, Receipts (Money In). It starts with the Opening Balance, then lists each ledger that money came from, then TOTAL RECEIPTS.
- Read the right table, Payments (Money Out). It lists each ledger that money went to, then the Closing Balance, then TOTAL PAYMENTS.
- Check the line under the tables: Opening + Receipts = Payments + Closing.
- Click any ledger name to open its ledger report for the same dates.
Cash Flow
- Open Reports > Cash Flow.
- Check the From and To dates. Change them if needed.
- Read the summary strip: Opening and the net amount of each activity.
- Read the table. It starts with Opening Cash & Bank Balance.
- Read the three sections, A. Operating Activities, B. Investing Activities and C. Financing Activities. Each ends with its net amount.
- Read Net Change in Cash and CLOSING CASH & BANK BALANCE at the bottom.
- Click any ledger in a section to open its ledger report.
Export or download
- Click the Export icon (download arrow) on either report to save an Excel file.
- Click the Download PDF icon to save a PDF.
- Click Refresh to reload after posting new entries.
How the Cash Flow sections are decided
- The app sorts each ledger by the group it sits in directly.
- Ledgers directly in the Fixed Assets group go to Investing Activities.
- Ledgers in loan groups go to Financing Activities.
- All other ledgers go to Operating Activities.
- A ledger in a sub-group (for example a fixed asset in a depreciation block such as Block @15%) or your capital ledger may show under Operating Activities. Check the split before you rely on it.
Common problems
- Everything shows zero — no ledger is in the Cash/Bank group. Check the group of your cash and bank ledgers in the Chart of accounts.
- Opening balance looks wrong — the opening is the total of cash and bank entries before From within the selected financial year. Check the cash and bank opening balances in Ledger opening balances.
- No receipts in this period. / No payments in this period. — no cash or bank entry falls in these dates.
- Financial year not found — pick a financial year again on the Dashboard.
